Specification and RFP
Bids can only be compared when they answer the same question. We write the functional specification, run the vendor process and level the bids, so the award is decided on substance rather than on whose proposal read best.
Book a scoping callWhen to call us
- You are about to go to market for automation, conveyor, racking or a WMS.
- Proposals have come back and do not line up.
- Procurement or the board needs a defensible award decision.
How we approach it
- Write the functional specification: rates, volumes, service levels, interfaces and acceptance criteria.
- Build the vendor long list and shortlist.
- Run the RFP, site visits, reference calls and clarification rounds.
- Level the bids on scope, price, risk and lifecycle cost, and support contract negotiation.
Questions
Why not send vendors our requirements and compare what comes back?
Vendors fill gaps in a loose brief with their own product's strengths. A functional specification fixes the rates, interfaces and acceptance tests first, so every bid is priced against the same scope.
Can the specification cover software?
Yes. It covers the WMS, WES and WCS and the interfaces between them, which is where most scope gaps appear.
Do you help negotiate the contract?
We provide the technical and commercial input: scope, guarantees, acceptance terms and change-order rates. Your procurement and legal teams own the contract.
Talk it through
